Privacy Policy

How Doncour collects, uses and protects your personal information, in line with POPIA.

Doncour Recruitment ("Doncour", "we", "us") is a staff recruitment agency based in Durban, KwaZulu-Natal. This policy explains what personal information we collect through this website, why we collect it, who we share it with, how long we keep it and what rights you have. It is written to meet our obligations under the Protection of Personal Information Act 4 of 2013 (POPIA).

What we collect

When you simply browse the site

Our web server keeps standard technical logs, which include your IP address, the pages you request, the date and time, and your browser type. We use these to keep the site running securely and to diagnose faults. We do not use analytics or advertising tracking on this website.

When you use the contact form

Our contact form collects your name, email address and your message. We use these only to answer your enquiry.

When you submit your CV

Our CV submission form collects your full name, telephone number, email address and the position you are applying for, together with your CV file. You may also choose to give us your location, a LinkedIn profile address and a message.

Your CV itself will usually contain a good deal more information about you, such as your employment history, qualifications, contact details and referees. Please send us only what is necessary for us to consider you for work. In particular, do not include your identity number, your bank details or copies of identity documents in a CV submitted through this website.

Candidate records we build as we work with you

Once you are on our books, our consultants record the information needed to match you to vacancies. This includes the role and skills you are looking for, your industry or sector, your province or area, your availability, your salary expectation, an internal reference number, and a summary of your experience and qualifications. It also includes your ethnicity, which is explained in the next section.

Special personal information: ethnicity

POPIA treats information about a person's race or ethnic origin as special personal information, which may only be processed in limited circumstances. We want to be clear about what we do with it.

We record ethnicity because South African employers who are designated employers must report on the demographic profile of their workforce under the Employment Equity Act 55 of 1998, and many of our clients brief us against their employment equity and B-BBEE commitments. We process this information with your consent and for that purpose.

Please note that ethnicity currently appears on the candidate profiles published in the candidate gallery on this website, which is a publicly accessible page. Candidate profiles in that gallery are anonymised in the sense that they do not carry your name or contact details, but they do show the role, province, availability, salary expectation and ethnicity.

You may ask us at any time to remove your ethnicity from your published profile, to remove your profile from the gallery altogether, or to withdraw your consent to us processing your ethnicity. Contact the Information Officer and we will action it. Withdrawing consent does not affect our ability to keep working with you on vacancies generally.

Why we process your information

  • To answer enquiries you send us.
  • To assess your suitability for vacancies and to match you to roles.
  • To present you to prospective employers, with your knowledge.
  • To publish an anonymised profile of the skills currently available to the market.
  • To verify what you have told us, including contacting the referees you give us.
  • To help clients meet their employment equity and B-BBEE reporting obligations.
  • To keep records of our own business and to comply with the law.
  • To keep this website secure and working.

Who we share it with

We share your information with prospective employers when we put you forward for a role. We will tell you which client we are submitting you to.

We share it with referees you have nominated, to the extent necessary to check a reference.

We share it with service providers who help us run our business, such as our website host and our email provider. They act on our instructions and may not use your information for their own purposes.

We may disclose information where the law requires it, or to protect our rights.

We do not sell your personal information, and we do not share it for advertising.

Cookies and similar technologies

This website does not set advertising or analytics cookies, and it does not set any cookie simply because you visited.

If you use the light and dark appearance switch, your choice is saved in your own browser using local storage under the name doncour-theme. It records nothing except that preference, it is never sent to us, and you can clear it through your browser at any time.

If you are a member of Doncour staff and log in to administer the site, WordPress sets cookies to keep you signed in and to remember your screen preferences.

Third parties and information leaving South Africa

Our pages load typefaces from Google Fonts, a service provided by Google. To deliver those files, your browser connects to Google's servers, which means your IP address is disclosed to Google and may be processed outside South Africa. Google's privacy policy is available at policies.google.com/privacy.

Our footer and header link to our Facebook and Instagram pages. Those are ordinary links: nothing is sent to Facebook or Instagram unless you click them, at which point that platform's own privacy policy applies.

Where your information is transferred outside South Africa, we take reasonable steps to satisfy ourselves that it will receive a comparable level of protection, as POPIA requires.

How we protect your information

The website is served over an encrypted connection (HTTPS). Access to submitted enquiries, CVs and candidate records is limited to Doncour staff who need it, and is protected by individual accounts and passwords.

Uploaded CVs are stored outside the publicly readable part of the website. Direct web access to the upload folder is refused, so a CV cannot be retrieved by guessing its address; it is available only to signed-in staff.

Candidate records are not available through the website's public data interface, and the consultant contact details held against a candidate are never published.

No system is perfectly secure. If a breach occurs that is likely to affect you, we will notify you and the Information Regulator as POPIA requires.

How long we keep it

We keep your information only for as long as we need it.

  • Contact form enquiries: up to 12 months after we have dealt with your enquiry.
  • CVs and candidate records: up to 24 months from our last meaningful contact with you, after which we will delete them or ask whether you would like us to keep you on our books.
  • Placement records: for as long as required by employment, tax and company law.

You can ask us to delete your information sooner, and we will do so unless we are legally required to keep it.

Your rights

Under POPIA you have the right to:

  • ask what personal information we hold about you, and get a copy of it;
  • ask us to correct or complete information that is wrong or out of date;
  • ask us to delete information we no longer have grounds to keep;
  • object to us processing your information;
  • withdraw consent you have given, including consent to process your ethnicity or to publish your profile;
  • not be subject to unsolicited direct marketing; and
  • complain to the Information Regulator.

To exercise any of these, contact our Information Officer using the details above. We will respond as soon as we reasonably can. We may need to confirm your identity first, so that we do not disclose your information to someone else.

A formal request for access may be made on the prescribed form under POPIA. We will help you complete it if you need us to.

Complaints to the Information Regulator

If you are not satisfied with how we have handled your information or your request, you may complain to the Information Regulator of South Africa.

Beware of recruitment scams

Doncour will never ask you to pay us anything in order to be considered for work, and it is illegal in South Africa for a recruiter to charge a candidate for placement. We will never ask for your banking details or your identity number by email or over social media. If you receive a message claiming to be from Doncour that asks for money or for those details, please treat it as fraudulent and report it to us at info@doncour.co.za.

Changes to this policy

We may update this policy as our practices or the law change. The date at the top shows when it was last revised. Where a change materially affects you, we will take reasonable steps to bring it to your attention.
